San Martin ☘️ RSVP — parents and guardians
Frequently asked questions
How the club's RSVP site works for families. Leaders have their own FAQ once they sign in.
Getting started
- What is this site?
- San Martin 4-H project leaders use it to invite families to project meetings and see who's coming. It is run by club volunteers, not by 4-H nationally, and is separate from official enrollment.
- How does my family get on it?
- A parent or guardian fills in the registration page: household name, each parent or guardian's name and email, and the members' names. We email a confirmation link to the address you choose. Your details are held for up to seven days while we wait for you to open it; if it isn't opened, they are deleted. Once you confirm, a project leader enrolls your members in their projects.
- I registered but never got the confirmation email.
- Check spam first. If you still have the "Check your email" page open, use it to fix the address or send the link again. Otherwise just register again; unconfirmed registrations are forgotten after a week.
- Can I add another parent, guardian or member later?
- Ask your club administrator or project leader; they can add or change anyone on your household.
Signing in
- Do I need to sign in to RSVP?
- No. Every meeting email has a one-tap RSVP link that works without signing in. Signing in is an extra: it shows all of your household's meetings and answers in one place.
- How do I sign in?
- Go to the family sign-in page, enter the email address on your household, and open the link we send. It works once and expires after 20 minutes. There is no password.
- What does "Remember this device" do?
- Normally you stay signed in on that device for 30 days. Tick the box and it's 365 days instead. Only the device that opens the link is signed in, and Sign out ends it at once. Leave it unticked on a shared computer.
- The sign-in link says it has expired.
- Links last 20 minutes and work once. Go back to the sign-in page and ask for a fresh one.
- I'm also a project leader. Which sign-in do I use?
- Both, separately. The leader sign-in shows the meetings you run; the family sign-in shows your own household. You can be signed in to both at the same time.
Meetings and RSVPs
- When will I hear about a meeting?
- Every parent or guardian on the household gets an invitation email about 7 days before each meeting of a project your member is in, and a reminder about 48 hours before if you haven't answered. If a meeting changes or is cancelled, you get an email about that too.
- How do I RSVP?
- Tap the button in the email, or sign in and use RSVP on the meeting's card. Say whether you're coming, tick which members, say how many adults are coming along, and leave a note for the leader if you like.
- Can I change my answer?
- Yes, any time until the meeting starts: open the same email link again, or sign in and choose Change RSVP.
- Who sees my RSVP and my note?
- The leaders of that project and the club administrators. Other families never see your answers.
- Why don't I see a meeting I expected?
- Cards only appear for projects a member of your household is enrolled in, and only once the leader has scheduled the meeting. If a member's project is missing from the list at the top of your page, ask the project leader to enroll them.
Your information
- What do you keep about my family?
- Your household name, each parent or guardian's name and email, the members' names and projects, and your RSVPs. Nothing else about the members: no birth dates, addresses, phone numbers, or medical details. The privacy page has the full list and how it's protected.
- How do I stop the emails or have my family removed?
- Contact your club administrator. RSVP history for past meetings is kept for the club's records.
